Multi Provincial Payroll and Vacation

        Hello, I’ve been tasked to see how other multi-provincial payroll professionals are managing vacation hours and dollars. Do you use a one system approach? Do you have separate time and attendance and payroll? If so how are you managing calculation of vacation? Do you have Quebec teammates?

        If you could spare time to let me know how you are managing this I would greatly appreciate it.

        We are currently going to market for a better way and the US is not understanding the intricacies of vacation in Canada in multi-provincial situations.

          Hi Sharyl,

          We use Ceridian (Dayforce) and it supports tracking vacation time. We have staff across Canada including Quebec and Ceridian helps with the moving pieces of it all. Highly recommend! Let me know if you need anything more.

            We use ADP Workforce Now Payroll and time and attendance for all our locations in SK, AB and BC. It tracks our vacation hours and accrual dollars. It’s very effective.

              Hey Sharyl! At my last job, our parent company was based in Texas and I 100% agree – they really struggled to understand how vacation accruals work up here north of the border 😅

              One thing to consider as you’re looking at time and attendance solutions is (a) how customizable your calculations are and (b) how tight the integration with your payroll software is. If you end up with a solution that you can customize vacation hours and dollars to your heart’s content, but it doesn’t integrate nicely with your payroll software, it won’t matter. Payroll should definitely be the system of record, so looking for a natively integrated pay and time solution will save you a lot of pain in the long run.

                All payroll softwares are designed to keep track of accrued and used vacation. You must set up policies in the softwares and assign those policies to employees.
